IntegrationGoogle Sheets ↔ QuickBooks

Get QuickBooks data into Google Sheets — live, not last month's export

Most businesses run their real reporting in a spreadsheet: job costing, cash-flow projections, the partner dashboard. And most feed that spreadsheet the same way — someone exports from QuickBooks, cleans up the CSV, and pastes it in. By the time anyone reads it, it's stale.

Here's how to make the sheet feed itself.

Your three options

  1. 01

    Manual CSV exports

Best for: Free, and fine for a one-off analysis or a report you genuinely only need quarterly.

The catch: For anything recurring it's the problem, not the solution: somebody's hour every week, and the numbers are stale the moment they're pasted.

  2. 02

    Connector add-ons (Coefficient, and similar)

Best for: Off-the-shelf Sheets add-ons that pull QuickBooks reports on a schedule. If a standard P&L or balance-sheet pull is all you need, one of these may be enough — try it before paying anyone.

The catch: Monthly per-seat pricing, limited reshaping (your sheet gets their format, not yours), and they're read-only — nothing flows back into QuickBooks.

  3. 03

    A custom-built sync

Best for: Any QuickBooks data pulled on a schedule into your sheet in your layout — job costing, custom aging, whatever your reporting actually is — and, where you want it, the reverse: rows in a sheet becoming bills, invoices, or journal entries for approval. This is what I build.

The catch: A built project, so it makes sense when the spreadsheet is genuinely how you run the business — not for a report you glance at twice a year.

What I build for Google Sheets + QuickBooks

  • Scheduled pulls of any QuickBooks report into your existing sheet — your layout, not a template
  • Job-costing and cash-flow dashboards that update themselves every morning
  • Aging reports reshaped exactly how your bookkeeper reads them
  • Sheet rows turned into draft bills or invoices in QuickBooks for approval — data flowing both ways
  • A weekly numbers email to the owners, generated from the live sheet

Common questions

Is there a free way to get QuickBooks data into Sheets?
Exports are free, and some connector add-ons have free tiers for basic pulls. The custom route is for when you need your layout, your logic, reliability, or data flowing back into QuickBooks.
Can data go from Sheets back into QuickBooks?
Yes — that's usually the half the add-ons can't do. Rows become draft bills, invoices, or entries, and nothing posts without approval.
Will my accountant hate this?
Accountants tend to like it — the sync follows their account and tax-code rules, everything lands as a draft for review, and it eliminates the copy-paste errors they currently have to find.
How fresh is the data?
As fresh as you want — hourly or daily is typical. The point is nobody exports anything by hand again.

Exporting this by hand every week?

Send me what you’re copying between Google Sheets and QuickBooks and I’ll tell you what can be automated, what it would take, and whether the free option is enough. No pitch.
